Travel Survival Tips: 13 Essential Items to Pack for Your Next Business Trip

Travel Survival Tips

Traveling for business or pleasure for the most part is great experience. Travel does have its disadvantages, especially when you forget to bring some essential item. Being prepared is the secret to the travel game. Having both worked and lived abroad, I have had to travel in many different environments. There are certain items that I always want to have with me on a business trip because of their usefulness. Most of the items are surprisingly inexpensive. Here is the Travel Survival list that I have compiled of items that I take with me when I travel for business.

13 Essential Items to Pack for Your Business Trip

1. White Hand Towel

A basic white 16″ x 27″ hand towel. The saving grace to this towel is its compact size. Not too big, not too small. It is big enough to shower with even for a big guy like me. Hey, it is not the “Ritz-Carlton” of towels, but it is big enough to get the job done. If you have to wash it, it washes easily in the sink in your room. If you have to use a commercial laundry, It takes up less space and it also dries quicker. That will save you money in the end. At 2 Euro to wash a very small load in France, it adds up. I have used it to shine my shoes, rolled-up as a pillow, and even a dust cloth. It can also be used to clean up a variety of spills. Make sure that it is white so it can be bleached. Most of the time I simply wash it with Zote (See #2) Best of all, you know where this towel has been. Less than $5

2. Zote Mexican Laundry Soap

I prefer Zote Brand – Choose the pink one, it has a great citronella scent and it just works. Zote gets out stains that would never come out with anything else. When you spill on your favorite tie; Zote to the rescue. It will even remove old stains that have been on clothing for sometime. It also has fabric softeners built in. So when your luggage doesn’t arrive, you can rewash your outfit with Zote and you are on your way! Purchase Zote at any Latino Supermarket. It is a great product and it smells so good. Less than $1.

3. Dr. Bronner’s Magic Pure Castile 18 in 1 Peppermint Hemp Soap

The most unique and refreshing soap you will ever use. Dr. Bronner’s website explains that the soap is “A combination of organic extra virgin coconut, olive, jojoba and hemp oils, together with pure essential oils, creates a unique soap that cleans effectively without being aggressive and produces a velvety-lather that leaves the skin silky-smooth and refreshed.” it is a little pricey, but well worth it. The soap is ultra concentrated so you should dilute it. A bottle will last you much longer than you think. The awesome peppermint oil in the soap helps wake you up during your morning shower. It is also good to use as a refreshing face wash. I love this product. It is also interesting to read the bottle. Dr. Bronner brought the soap to the United States in 1948; his family has been making soap for 5 generations. All-One! 2 ounce bottle $3

4. Dial “Gold” Antibacterial Soap

Dial makes the best antibacterial soap on the market. Lets face it, hotel rooms can have a lot of germs. Don’t bother with liquid soap; the bar soap has more of the active ingredient in it than the liquid soap. Forget the little soap in the box that they provide for you. Use Dial to wash your hands, the counter, tables, and you! This will help keep you from bringing home the souvenir of sickness. $3 for a 3 pack.

5. Swiss Army Knife

Make sure to check this item if you are traveling by airplane. TSA will not permit a knife on a plane (Duh!) I am 1/2 Swiss. I have been using Swiss Army Knives since I was a kid. They are reliable and useful in so many ways. They are also easy to slip in your pocket and can serve as a weapon for your defense. My favorite model is the “Spartan”. It sports 2 blades, a can and bottle opener, screwdrivers, corkscrew and leather awl. $28

6. Leatherman Multi-tool

The main purpose for the leatherman is the needle-nose pliers. I tend to use my Swiss Army Knife more than my Leatherman. However, I have forgotten to pack it on occasion when I really could have used the pliers. You can unstick a zipper, tighten a bolt, etc. A great tool to have on hand everyday. $30

7. Glad White Plastic Quick-Tie Kitchen Garbage bags – 13 Gallon

These bags are good for dirty clothes, shoes or whatever you don’t want to touch your clean stuff. They work great as barf-bags for those of you doing some international travel. They are also good for taking out the trash! $7 for 80 Bags.

8. Plastic Zip Tie Cables

These can withstand 40 pounds of pressure. I always throw in a couple of zip ties. just in case. You can use zip ties to repair almost anything; a luggage strap, shoes, luggage lock, etc. Less than $7 for a pack of 20.

9. “The Bullet” Fisher Space Pen

Developed by Paul Fisher. This pressurized pen was first used by NASA on the Apollo 7 Space flight in 1968. Without the invention of the Space Pen, astronauts would still be writing in pencil! The bullet pen is my favorite. It fits in your pocket, and it always works. It even writes under water. Once you try one, you will be hooked. Made in the USA in Boulder City, Nevada. $25

10. Moleskine Notebook

I first came across a Moleskine Notebook while living in Europe. I love the simple concept of a banded hard-bound notebook that you can carry with you everywhere. Simple, black, rounded corners, with a pocket in the back. They now come in several different sizes, styles, and colors. I still prefer black. It is always on my person along with my Fisher Space Pen (See #9). $12

11. Zippo Lighter

It always pays to have a way to light your path or start a fire. One of the first lessons you learn as a Boy Scout is how to light a fire. Always be prepared. I bought my first Zippo when I was 18 years old. It has been a great tool to have. You probably have to check this one with your luggage as well. $25

12. Sewing Kit

Make sure to have a sewing kit with you when you travel. If you need a needle and thread or a button, this item is worth its weight in gold. $5

13. Duct Tape

This one is a no-brainer. A must have for on the go repairs. A million and one uses come to mind for Duct Tape. You can even make a nice tie or wallet if you get bored. A roll is very nice to have if you need it.

Why the Multi Corporates Choose to Travel By Business Jets

Business jets or private jets can be called a totally new addition to the panache and needs that big corporate giants feel and like to have. Fast moving jets specially designed in modest size to provide private aviation to the business sector. The word “business jet” serves two fold purpose–some people buy or hire business jets to incorporate them in their business, and the second are the companies who offer business jet services to organizations, either through rentals or partnerships. These services offered by companies extend their expertise and equipments to evacuation of casualties, express parcel deliveries, governments or the armed forces, and sometimes for total private use. However, we will focus our discussion more on the specific versions of these business jets, which are popularly known as corporate jet, executive jet, or VIP transport.

It is not worth much to relate the advantages of business jets to the corporate sector, as almost all the excelling companies are aware of the need and necessity of private aviation in the present scenario that has opened many opportunities and have also imposed many limitations: open marketing has propelled the companies to send their personnel frequently to other cities for presentations, seminars, surveys, and other business related matters; however, in the wake of security threats, scheduled aviation has become very cumbersome and time-wasting. This is what business sector can never stand with–time is the most precious thing for any company, and they can’t afford to lose it.

Privacy, security, flexibility of time, scheduling as per your requirement, same day returning if needed, and convenience are some of the major factors that combine to counter the cost of the business jets. However, companies offering business jets also offer partnership schemes and rentals for organizations that are not willing to afford the total cost of buying business jet. Companies can easily decide which option they want to choose.

If the travelers need to make multiple presentations or seminars in one day, and have to move to different places, business jets serve the cause in best way. Scheduled aviation can never achieve this end. It is obvious that a lot of time and money is wasted in hotel booking, ground transportation, and going through the security checks of airports. However, with business jets, you are free from such tensions, and you can even return to your place the same day. This facility often caters to the cost of business jets in terms of time saved.

Not surprisingly, many organizations and companies still are doubtful about the idea of business jets; but it goes without saying that those who have used it and know its value, would never like to use scheduled aviation again, if circumstances permit them!

Business of Leisure & Components of Leisure Travel and Motivation

Leisure is the time available to the individual when work, sleep and other needs have been met. Leisure as a construct involves a number of dimensions.

· Absorption and concentration of ongoing experience

· Lessening of focus on self

· Feelings of freedom and lack of restraint

· Enriched perception of objects and events

· Increased intensity of emotions

· Increased sensitivity to feelings

· Decreased sensitivity to passage of time

The Components of Leisure Motivation

Beard and Ragheb identified four motivational needs derived from Maslow’s hierarchy of needs. These needs form the components of leisure motivation. They are –

· Intellectual component

· Social component

· Competence mastery

· Stimulus avoidance

Intellectual component is the extent to which individuals are motivated by mental activities such as learning, exploring, discovering, thought, imaging. This can be a primary high need (a visit to Madurai to study temple architecture) or a low need triggered by a specific event or environment.

Social component is the need for friendship, self-esteem and interpersonal relationship. The holidays are not only status- or ego- enhancing experiences. There is also a sense of belonging with the place visited. People tend to identify with a place visited. This is higher for people who are more satisfied with their holidays and for those with three or more visits. The relationship not only involves social identification but also a relationship with the geographical place.

Competence mastery component is in order to achieve, challenge, master and compete. This is often physical (i.e. sports) but also includes fine arts and other intellectual pursuits. Competence mastery is coupled with other components of leisure motivation. A course in wind surfing (competence mastery) can also mean meeting like -minded individuals (social need).

Stimulus avoidance is drive to escape and get away from over-simulating life experiences. The most obvious component of leisure motivation, a chance to rest and unwind.

The components of leisure motivation vary within holidays and between holidays. On a holiday, a tourist may rest for few days (stimulus avoidance); thereafter explore the place (intellectual component). The holidaymaker may assign different purposes to holidays. One holiday might be family centred (social need), the other for playing golf (competence mastery) etc.

Serviced Apartments Can Take the Strain Out of Business Travel

The way that many professional people conduct their working day has changed over the past decade. Many businesses require employees to be less office based and require them to travel great distances to see clients and spend time away from home as part of their jobs. To many the thought of spending anything from one night to several weeks away from home in a hotel room can be unappealing particularly if the budget does not allow for a more luxurious booking. An alternative, which has experienced an increase in demand, is the serviced apartment industry.

City centres are regularly frequented by the business traveller visiting a wide range of companies and corporates. Serviced apartments located in both city central and residential locations, offer many additional features that hotels of equal standards offer and often for less cost. What could be better than a home away from home just when you need it the most?

Benefits of Serviced Apartments

The cost of staying in an business stay apartment is often less than a hotel, one reason of which is based on the fact that there isn’t a reception desk as all bookings are done through an office that manages a number of apartments. But, despite this most reputable serviced apartment companies have security systems to ensure that safety and security is paramount for all their guests. This could be via secure video entry systems, a twenty-four-hour concierge service as well as site wide CCTV to ensure that guests have total peace of mind for the duration of their stay and can feel relaxed knowing that their possessions are safe.

By choosing serviced apartments you can remain close to all of the amenities that you need such as the railways station and restaurants. Apartments are generally stylish and of an open plan design, with a fully equipped kitchen or kitchenette, which offers much more than just the standard tea and coffee making facilities found in many hotels. Colleagues can share a two or three bedroom apartment together, saving the cost of having to pay for a second hotel room while sharing all of the amenities without incurring any added extras.

Consider the cost incurred when relocating staff from one part of the country to another; using serviced apartments could be the answer to a lot of relocation problems. It would mean that you would have your staff where you need them, in comfortable accommodation where they can stay until permanent accommodation is organised.

A Real Alternative

Serviced apartments do offer a viable alternative to hotel accommodation, particularly when staying for more than a couple of nights. They offer high quality accommodation with all of the convenience of a home away from home. As with hotels they range in price and therefore what they offer from luxurious accommodation through to modest, affordable apartments. They are also available from one through to three bedroomed with en-suite bathrooms for the master bedrooms, a separate bathroom for a second guest and plenty of space in the living/dining area. Business travellers have reported that they find serviced apartments to be business accommodation at its very best. Some also offer the benefit of a residents’ only gym facilities and private courtyards or balconies. They offer many features required to make a business trip as comfortable and relaxing as a short city break. Apartments offer the flexibility and freedom that is lacking in hotel accommodation, as well as much more space in which you can actually live, work and relax.

Top Tips for Successful Luxury Coach Business Trips

It’s not unusual to find a company that has hired a coach to take its employees to a seminar, conference or simple social event but who have subsequently been disappointed with the results.

Here we’ll examine some of the common causes and their solutions.

Poor turnout / response to invitation

This is a commonly expressed frustration in many organising departments.

Ignoring mechanical causes (such as poor communication of the “we weren’t told” variety or insufficient notice) this is often attributable to:

  • low morale in the company;
  • a lack of interest in the event concerned;
  • conflicting priorities (your event has been scheduled at a time which clashes with other things).

There is no easy answer to this and simply making attendance mandatory isn’t likely to be the answer. You may need to analyse the causes in more detail.

Dissatisfaction with the quality of transport

In the 21st century, professional people expect corporate transport to be modern and comfortable.

If an “old banger” of a coach arrives at the outset, then already your session is in trouble due to creating the wrong impression.

Be prepared to spend a little money here to get a comfortable limo bus.

Impacting personal lives

Today, most people expect and demand a professional / personal life balance.

So, anticipate dissatisfaction and disgruntled attendees if they’ve had to get up at 4am to make your planned departure time and/or they won’t be getting back home until the early hours of the morning.

A luxury coach might help alleviate some of this through comfort during the journey but it won’t, in itself, be the solution.

Impacting professional lives

On a similar theme to the above, asking people to get back very late to their homes, while expecting them to be back in the office at 8am and firing on all cylinders, is likely to be a recipe for ill-feeling.

Provide or arrange for refreshments

If people have been asked to get up unusually early and been on a coach for some time, then it’s really good psychology to provide (or stop for) some refreshments.

A little caffeine and a calories boost can ensure people arrive at the destination eager to get started rather than tired, jaded and looking for reasons to complain.

Railroading

Ideally, your corporate event should be so desirable by its very nature that your colleagues should be fighting for the chance to participate.

Only use “attendance is mandatory” approaches as an absolute last resort, as touched on earlier.

If you see a lack of interest and voluntary participation, something is wrong and a re-think is required. People typically don’t respond well to being forced to attend company events.

Relate to the wider world

Remember that a corporate event will be seen by many against a much broader backdrop of the wider business world you share with your colleagues.

So, expect a very negative reception for (e.g.) a company team-building exercise held at an expensive external venue, if just a few days before the company has announced major ancillary benefits cuts for employees due to the prevailing economic circumstances.

Improve Your Efficiency By Collaborating Technology With Business Operations

People now travel all over the world for personal and professional purposes. The business realm has experienced a huge change regarding meeting clients, business associates, bureaucrats etc. in the past decade. According to a research done by U.S Travel Association, direct spending on domestic and international business travels was close to $307.2 billion in the year 2016.

To create a brand name worldwide, one has to market its product on a global level. To do that, workshops, seminars, meetings are all normal and every bit of it requires a travel plan, however, more important than a fine strategy is the technology in any industry. One business can benefit tremendously if collaborating with the right technology in the right manner.

Major benefits of using technology for business transportation are:

Presence Of Mind:

One major benefit technology provides in the business realm is the presence of mind. People can completely focus on the current task without wondering what is scheduled for the next. The innovation of the Apple watch is one such great invention. Now people can keep a regular check of their mailbox, schedule, and messages whilst sitting in a meeting and not disturbing the energy of the room by checking everything over the mobile phone again and again.

Airport Journeys Become Easy:

People who are a frequent traveler will surely understand the pain of airport travels where you need to keep everything handy; from passport to boarding pass. Rather than fetching things every time in your hand band, you can easily store your flight ticket, boarding pass details in your watch and scan it as and when required at the airport security checkpoints. This surely will save you enough time which can be utilized for reading a great novel or creating a presentation in the waiting area.

Communication Luxury:

Mostly the traveler’s hands are busy in carrying luggage. In such cases, attending chauffeurs calls and understanding where is your chauffeur located, is a bit difficult task. Again, the Apple watch is a life saver here. You can attend the calls and fetch your car by just clicking on the watch. This helps you to leave the airport in style without creating a mess with your luggage while finding your smartphone in the bag.

When technology combines with the business it makes life and tasks much simpler. The usage of these technologies differs from person to person but the benefits they provide are countless.

Offsetting Air Travel Emissions As a Green Business Practice

We all know that air travel has impacts on the environment and a number of companies now include offsetting their air travel carbon impacts as one of their green business practices. However this is not as easy as it seems. Carbon emissions are not the only impact from air travel and different offset calculators use differing methodology to determine how much should be offset. Aside from this, the level of your personal emissions also varies depending on flight distance, the type of plane and whether you are flying business or economy. This article will help you understand some of the different factors that contribute to your personal air travel carbon emissions.

Aeroplanes burn fossil fuels to operate which release CO2 into the atmosphere. There are different opinions on how much air travel contributes to global CO2 emissions with figures ranging from 2% to 10%. Not only are CO2 emissions an issue but aeroplanes also release water vapour, nitrogen oxides and methane. The environmental impact of these is greater when released at high altitude than what it would be at ground level. While these impacts are not entirely understood, it is generally agreed that a radiative forcing factor should be used when determining the impacts of air travel. Radiative forcing is the rate at which a given atmospheric gas alters radiation that is entering the atmosphere.

Not all emissions calculators include the radiative forcing factor in their calculations which underestimates the environmental impact of the flight. To make it even more complicated there are differing opinions as to what the radiative forcing factor should be set to. The Intergovernmental Panel on Climate Change (IPCC) recommend a radiative forcing factor of 2.7 and this seems to be most commonly used. So for a more accurate assessment of your flights impacts, you want to choose a calculator that includes radiative forcing but the story does not stop there.

There are a range of other variables that affect your individual emissions. First is the distance traveled and whether this is long or short. Short distance flights are less fuel efficient overall due to the fuel consumed during takeoff and landing but they also generate less condensation trails (water vapour) due to the shorter time spent at high altitude. The type of plane will also impact the level of emissions from the flight as newer model aeroplanes tend to be more fuel efficient.

As for the emissions each passenger is responsible for, this will vary depending on whether the flight is full and whether the person is traveling economy or business. If the flight is not fully occupied, each person will have to offset a higher level of emissions to offset the whole impact of the flight and if you are traveling in business class, you are taking up more space and will be responsible for a greater percentage of the emissions.

As you can see calculating the emissions to offset air travel is not as straight forward as it first seems, in spite of this an understanding of the factors that contribute to your personal emission levels from air travel gives you a better idea how your travel decisions impact the environment.

Top Tips For Business Travel Safety

Do Your Research

If you’re going abroad, do some research on the country before you go. Make sure you have any vaccinations you may need and all the correct documents, and are familiar with the laws of the country. It’s also a good idea to keep up to date with any political disturbances to avoid dangerous situations.

Electronics

You can never be too careful when using electronics. If you’re working whilst travelling, ensure you have arranged a data plan before you leave so you don’t have to use open Wi-Fi connections – these are not always secure and could result in data loss for your company. It’s also not a great idea to use public computers as again these are usually pretty simple to hack.

Watch your Luggage

Throughout your journey, always keep an eye on your luggage. If you are taking a carry-on, choose a bag that fully zips up and if any of your luggage contains important documents be sure to use a coded padlock. When taking a laptop, avoid putting it in the overhead as it could be stolen or damaged; instead keep it on your lap or place it under the seat in front of you. As long as you’re careful with your items you should be fine.

At the Hotel

One of the first things you should do when you get to the hotel, is check that there is security available 24/7 – available by phone and there should also be a patrol. You should also always leave the “do not disturb” sign on your door to stop anyone from coming in, and only answer the door if you are expecting someone. If you have booked the hotel independently, make sure your company know where you’re staying.

Business Travel Security

Business travel security is available; this can be especially useful if you’re going to a high-risk area or carrying out important work that you could be targeted for. They can provide risk assessment and management, travel training and close protection amongst other things. If you work for a company, you could suggest they look into this for all staff to reduce the risk of any issues and make staff more comfortable with travelling for work.

Avoiding any threats to yourself and your work should be your biggest concern when travelling. By taking small precautions you’ll make your trip run smoothly and ensure your security, leaving you to focus on the work at hand and come home safely.
